Cancellation & Refunds

If it becomes necessary for you to cancel your trip (or any portion thereof), you should notify Rays Vacation in writing by e-mail at [email protected] immediately.
Rays Vacation imposes cancellation charges to cover nonrefundable advance payments made to ground operators, government agencies, and communication expenses. Charges are as follows:

Cancellation charges for air-inclusive packages encompass the total cost, and Rays Vacation does not issue partial refunds for unused trip arrangements post-commencement. Refunds are not granted to members who do not complete any itinerary portion. Cancellation charges may vary for safaris, cruises, air tickets, and custom trips.

Rays Vacation Llcretains the authority to cancel trips due to unforeseen circumstances, such as government policy changes. Trip members will receive notification at least 14 days before departure and a full refund. However, Rays Vacation is not liable for additional expenses incurred by trip members, including nonrefundable air tickets and medical, passport, and visa fees.

Standard Cancellation Charges for Group Trips:

  • Nonrefundable cancellation charge: $150–$200 per traveler.
  • 61 days or more before departure: 100% of the land cost.
  • 60–31 days before departure: 50% of the land cost.
  • 30–15 days before departure: 25% of land cost.
  • 14 days or less before departure: no refund.
  • At or after trip departure: no refund.

Late Bookings and International Clients
Those who book within 21 days of departure and international clients may be subject to special courier fees for the delivery of trip documents and air tickets.

Air Transportation
We recommend booking your flights to and from Bhutan through our air department. If you choose to book independently, please contact us immediately after booking. Early reservations secure preferred airlines, routes, fares, and departure times. If you arrange your air travel, provide your schedule at least 60 days before departure for hotel confirmation. Airport transfers are not included for individuals not adhering to the group schedule.
